Who we are

Westfield Global Education Services ("Westfield", "we") provides overseas education counselling and admissions support. Contact: [email protected]. Registered address and grievance officer: [to confirm].

What we collect and why

• Enquiry form and chat contact details (name, phone, email, country and course of interest): to reply to your enquiry and arrange counselling. We contact you only because you ticked the consent box.
• Chat messages: to answer your questions and, where needed, pass them to a counsellor. Transcripts are stored in our CRM system.
• Email you send us: to respond and keep a record of our conversation.
• If you become a student: academic records, test scores, passport and financial documents, which you give us so we can apply on your behalf. These are covered by the agreement we make with you.

The website chat and automated assistant

The chat is answered by an automated assistant that can only use information we have approved (our guides and verified course details). It does not make decisions about you. Before a message is sent to any third-party AI service, we remove emails, phone numbers, identification numbers and names. Sensitive questions, and anything the assistant cannot answer reliably, are passed to a counsellor. Please do not type passport, bank or card details into the chat.

Who we share information with

Only with people who need it to help you: our counsellors and staff; universities, embassies and loan providers when you ask us to apply or submit on your behalf; and service providers that run our email, messaging, hosting and AI tools under confidentiality terms. We do not sell personal information.

Marketing

We send news and offers only if you ticked the separate optional box. You can withdraw at any time by replying STOP, using the unsubscribe link, or emailing us.

Cookies

This website sets no tracking or advertising cookies and uses no analytics. The chat keeps a temporary conversation reference in your browser's session storage, which is cleared when you close the tab.

How long we keep it

We keep enquiry and chat records for [to confirm] and student records for [to confirm], then delete or anonymise them unless the law requires us to keep them.

Your rights

You can ask to see, correct or delete your information, or withdraw consent, by emailing [email protected]. We will reply within a reasonable time.

Security

Our systems use access controls by role, encrypted storage for passport numbers, and an audit trail of who changed what. No system is perfectly secure; tell us at once if you think your information has been exposed.
